The word digital is synonymous with many things, including ease. Digital makes many things easy, whether ordering goods online or documenting things.
Several companies are introducing HRIS (human resources information systems) into their HRM. Digital onboarding is one feature of HRIS. It helps record employees’ information and leaves portals.
Digital onboarding has many benefits for the organization. My topic for this blog specifically focuses on the benefits of the digital onboarding of new business recruits.

  1. Reduces Costs – Let’s get the paperwork out of the way

Digital onboarding reduces costs and improves overall efficiency. Before digital onboarding, the onboarding process was manual and involved useless paperwork that was time-consuming. And most importantly, using paper is bad for the environment.

However, digital onboarding eliminates the use of paper. It makes the process entirely computerized. Employees enter their information on the digital portal, which is recorded in a database; information can be easily accessed from the database when needed.

Hence, digital information systems lower paper costs and allow the HR team to focus on more important tasks.

Reducing costs is important, especially with the ongoing recession. Yes, the paper cost may sound immaterial, but collectively, it adds up to a lot.

  1. Leaves A Good Impression On New Employees- Show The New Recruits How Tech-Savvy You Are

With the increasing awareness about workplace culture and environment, employees observe every aspect of the workplace. One of these aspects is the onboarding process. An easy onboarding leaves a good impression on employees and can create some strong referrals, too, for the future.

It shows employees that the organization’s processes are streamlined and have a good division of tasks. In easy terms, the organization doesn’t beat the bush. In the employee’s mind, this sets an image of the events about to follow. They set a clear vision about their future with the organization.

Based on this vision, they tell about the organization to their friends, which greatly impacts the organization’s employer branding and increases the number of people likely to apply for future positions.

In the long run, organizations with a digital onboarding process attract more people than those using the old rugged processes.

  1. Improves The Pre-boarding Process – Make Applying Easy

The best thing about digital onboarding is its improvement in the pre-boarding process. Digital pre-boarding is a great incentive for applicants. It makes the application process easy, encouraging more applicants to apply.

What I have observed is that candidates don’t like job postings which ask them to email their CVs to a different email address or postings which ask employees to visit and submit their CV’s to the office.

Rather, employees like postings with a “direct apply” option, which makes applying easy.  Hence, digital onboarding is a great incentive for prospective candidates. The easy-apply feature increases the quantity and improves quality of candidates available to the organization, improving the recruitment process.

  1. Leaves The HR With More Time To Engage With New Hidings- Engage, Know, And Implement

An important part of HR’s job is engaging with new hires. However, it’s impossible if HR is constantly engaged with paperwork. Digital onboarding frees HR from these tasks and gives them more time to interact with the new hires.

By interacting with the new hires, the HR gets a good insight into their vision and future goals and their likes and dislikes about the organization’s environment. This information is important for HR because it allows them to improve the organization’s culture and provide employees with new learning opportunities, such as training and courses.

Addressing the growth-related needs of employees is important because it makes them know that the organization cares about them, which is why they stay with the organization.

  1. Helps Get A Follow-up – Remind Them To Stay Up To Date

New employees usually get entangled with other tasks during the first few days of their jobs. In the midst, the onboarding process goes to the back of their minds. Hence, they completely forget about it.

When an organization has a digital onboarding process, it eliminates the need to remember who has completed it. Simply look at the portal, and you’ll find the onboarding status of all employees; for those who haven’t completed it, just leave a reminder.

With a digital onboarding process, there is no need to go to employees’ desks to remind them of the impending task. Hence, digital onboarding saves much time, which is available for other productive purposes.

  1. Information Is Available On One Click – Quick Availability Means Quick Action

The onboarding process is important because it stores all the necessary data of employees. There are times of emergency when this data comes in handy. But for it to come in handy, its being available is necessary.

The problem with digital onboarding is the hard process of fetching data when needed.  For example, if an employee is taken to the hospital during a heart attack, how do you inform their family members? You are too busy sifting through piles of paper.

However, with digital onboarding, this is different. Digital onboarding makes the data available at just a click. This means instant action, which is good in such cases. Hence, digital onboarding helps take quick action during emergencies.

My Two Cents – Why You Should Go For Digital Onboarding

HRIS has bought a revolution to HR processes. One of its great features is digital onboarding. Digital onboarding creates a great impression for employees. It shows that the organization is tech-savvy and focuses on smart working and improving processes.

Digital onboarding also leaves more time for employee engagement. This allows the HR department to work with employees, giving them insight into their needs and grievances. Addressing these needs helps retain employees, leading to less labour turnover and fewer recruitment costs.

Digital onboarding also reduces costs, improves efficiency by eliminating paper use and helps HR focus on other important tasks. Hence, digital onboarding employees is an efficient way to save costs, keep employees happy, and improve overall efficiency.
